This may include your name, email address, phone number, company information, calendar event data, the content of email correspondence with your meeting participants, and any content you create or upload while using our services.

How we use your information

We use the information we collect to:

• Provide, maintain, and improve our AI sales training services
• Personalize your training experience and recommendations
• Communicate with you about our services, updates, and support
• Process payments and manage your account
• Analyze usage patterns to enhance our platform

Calendar integration data

Sunnyside allows you to connect your Google Calendar to enhance your sales workflow. When you choose to connect your calendar, we access your calendar data with read-only permissions. Here is how we handle your calendar data:

What we access

• Calendar event details such as titles, dates, times, and attendee information
• We request read-only access — Sunnyside cannot create, modify, or delete any events

How we use calendar data

• To display your upcoming meetings and calls within the Sunnyside platform
• To prepare you for sales calls with relevant context and coaching insights
• To track and analyze your meeting activity for sales performance insights

How we protect calendar data

• Calendar data is transmitted securely using encryption and stored in accordance with our data security practices
• We do not sell, share, or use your calendar data for advertising purposes
• Calendar data is only accessible to authenticated users within your account
• You can disconnect your calendar at any time from your account settings

Google API services compliance

Sunnyside's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. This applies to every category of Google user data we access — Google Calendar and Gmail alike. We only use Google user data for the purposes described in this policy, and never for serving advertisements, for building profiles for purposes unrelated to Sunnyside, or for any purpose unrelated to providing and improving Sunnyside's core functionality.

Gmail integration data

Sunnyside can connect to your Gmail account to prepare you for upcoming meetings. Connecting Gmail is optional and is done by you from your account settings. We request read-only permissions — Sunnyside cannot send, reply to, modify, label, archive, or delete any message.

What we access

• We search your mailbox only for messages exchanged with the people attending your upcoming meetings, and only for messages from the last 180 days
• For those messages we read the subject line, the sender and recipient addresses, the date, and the message body
• We do not read, index, or store the rest of your mailbox. Messages that do not involve a meeting participant are never retrieved

How we use Gmail data

• To assemble a timeline of your prior correspondence with a prospect, so you can see where the conversation was left before you walk into the meeting
• To extract commitments, open questions, and next steps from that correspondence and show them in your meeting brief
• For nothing else. Gmail data is never used for advertising, is never sold or rented, and is never used to build profiles for purposes unrelated to Sunnyside

Who can see it

• Email data is visible only to the individual user whose Gmail account is connected — not to their teammates, not to their manager, and not to any other Sunnyside customer
• Sunnyside staff do not read your email content, except where you explicitly ask us to in the course of a support request, or where we are legally required to

AI processing

Preparing a meeting brief involves sending the relevant message content to our AI model providers, who act as our subprocessors and are contractually prohibited from retaining it or using it to train their models. We do not use Gmail data to develop, train, improve, or fine-tune generalised AI or machine learning models, whether our own or anyone else's.

Retention and deletion

• You can disconnect Gmail at any time from your account settings. Disconnecting immediately revokes Sunnyside's access token with Google and stops all further access to your mailbox
• Email content we have already used to build your meeting briefs is retained so those briefs remain readable. To have it deleted, write to hey@trysunnyside.com and we will delete it
• All Gmail-derived data is deleted when your Sunnyside account is closed

Information sharing and disclosure

We do not sell, trade, or rent your personal information to third parties. We may share your information only in the following circumstances:

• Service Providers: with trusted third-party vendors who help us operate our business
• Legal Requirements: when required by law or to protect our rights and safety
• Business Transfers: in connection with mergers, acquisitions, or asset sales
• With Consent: when you explicitly authorize us to share your information

Data security

We implement appropriate technical and organizational measures to protect your personal information against unauthorized access, alteration, disclosure, or destruction. These measures include:

• Encryption of data in transit and at rest
• Regular security assessments and updates
• Access controls and authentication protocols
• Employee training on data protection practices

Your rights and choices

You have the following rights regarding your personal information:

• Access: request a copy of the personal information we hold about you
• Correction: request correction of inaccurate or incomplete information
• Deletion: request deletion of your personal information (subject to legal requirements)
• Portability: request transfer of your data to another service provider
• Opt-out: unsubscribe from marketing communications at any time

Cookies and tracking

We use cookies and similar technologies to enhance your experience on our platform, including essential cookies for functionality, analytics cookies to understand usage patterns, and performance cookies to optimize our services.

We use these services for analytics and error reporting:

• PostHog (hosted in the United States): records page views and the actions you take, such as clicking a button. It also records sessions: a replay of how you move through a page, so we can see where our website and app are hard to use.
• Sentry (hosted in the European Union): records technical errors, such as a page that fails to load, so we can fix them.

How session replay protects what you enter:

• On our website: the pages are public, so a replay shows the page as you saw it. Everything you type into a form, such as your email address, is masked and never recorded.
• In the Sunnyside app: all text and everything you type are masked. Images, video and audio are not recorded. A replay never shows your notes, transcripts, meeting details or the names of the people you meet.

Session replay never records audio. In the Sunnyside app, you can turn analytics and session replay off at any time with the “Help improve Sunnyside” setting.

Changes to this policy

We may update this Privacy Policy from time to time to reflect changes in our practices or for other operational, legal, or regulatory reasons. We will notify you of any material changes by posting the new policy on this page and updating the "Last updated" date.
